These Terms and Conditions govern use of the Kenya Motorshow website, exhibitor applications, stand bookings, ticketing, attendance, participation, and related event services.
By using this website, submitting a booking or registration form, purchasing or receiving a ticket, attending the event, or participating as an exhibitor, contractor, supplier, sponsor, visitor, media representative, or guest, you agree to these Terms and Conditions.
1. Event Organiser
The Kenya Motorshow is organised by Carexpo Motorshow.

2. Event Venue and Dates
The Kenya Motorshow 2027 is scheduled to take place at the Kenyatta International Convention Centre (KICC), Nairobi, Kenya, from 2 April 2027 to 4 April 2027, unless otherwise communicated by the organisers.
The organisers reserve the right to amend event dates, times, venue arrangements, access procedures, layout, programme, exhibitors, or operational details where reasonably necessary.
3. Website Use
Users agree not to misuse this website, interfere with its operation, submit false information, attempt unauthorised access, upload harmful content, or use the website for unlawful purposes.
The organisers may update, suspend, or remove website content at any time without prior notice.
4. Accuracy of Information
We aim to provide accurate and up-to-date event information. However, event details may change due to operational, venue, regulatory, safety, commercial, or other reasons.
Users are responsible for checking official communications, notices, and updates issued by the organisers.
5. Exhibitor Eligibility
Exhibitor applications are open to companies or organisations whose business is wholly or substantially connected to the motor sector, including vehicle manufacture, assembly, distribution, parts, materials, accessories, finance, insurance, services, and other related areas approved by the organisers.
The organisers reserve the right to approve, reject, restrict, or cancel an application at their discretion.
6. Product Eligibility
Exhibitors may display motor-related products and services only.
Saleable items on display must generally be new or, where applicable, fully rehabilitated and supported by a meaningful warranty, subject to approval by the organisers.
Displayed products must remain on display throughout the event and may not be removed before the official end of the show unless authorised by the organisers.
7. Stand Bookings and Allocation
Stand spaces are allocated based on availability, product zoning, booking priority, stand limits, payment status, operational requirements, and the organisers’ discretion.
The organisers reserve the right to determine where an exhibitor is located and may relocate or adjust allocations where necessary for event planning, safety, zoning, or visitor flow.
A booking is not confirmed until the required booking form, deposit, and any other required documentation have been received and accepted by the organisers.
8. Payment Terms
A booking application must be accompanied by payment of the required deposit, generally 50% of the stand fee, unless otherwise agreed in writing.
The full balance of stand fees and related charges must be paid by the stated deadline. For the 2027 event, the reconfirmation and final payment deadline is 28 February 2027.
No exhibitor may begin stand setup until all required payments are completed and clearance has been issued by the organisers.
9. Late Bookings
Late booking applications may be accepted after the deadline at the organisers’ discretion. If approved, the full stand fee and any related charges become payable immediately.
10. Booking Changes
Requests to change stand location, size, category, or requirements may be considered subject to availability, zoning, operational requirements, and deadlines.
Changes requested outside the deadline period may be refused or may attract penalties or additional charges at the organisers’ discretion.
11. Cancellations and Refunds
Cancellations must be submitted in writing to the organisers.
Bookings cancelled on or before 31 January 2027 may forfeit up to 50% of the booking confirmation deposit.
Bookings cancelled after 31 January 2027 may forfeit all fees paid up to the time the written cancellation is received by the organisers.
Refunds, credits, or transfers are subject to the organisers’ written approval and applicable event rules.
12. Exhibitor Conduct
Exhibitors must conduct themselves and operate their stands with due regard to human safety, good taste, visitor experience, the reputation of the event, and respect for the property of the venue and other exhibitors.
The organisers may direct, restrict, suspend, remove, or expel any exhibitor, contractor, representative, display, product, material, or activity that disrupts the event, breaches these Terms, creates safety concerns, damages property, affects other participants, or harms the proper image or conduct of the event.
13. Compliance with Event Regulations
By signing or submitting a booking form, each exhibitor agrees to comply with the official event regulations, stand rules, venue rules, safety instructions, operational notices, and directions issued by authorised event officials.
In case of ambiguity, dispute, or omission in the regulations, the organisers’ interpretation and decision shall be final.
14. Stand Construction and Removal
Stands must be constructed, operated, and removed without damaging the fixed or movable property of the venue.
All displays, structures, products, furniture, branding, promotional material, and equipment must remain strictly within the exhibitor’s allocated stand area.
Exhibitors are responsible for removing all stand materials, equipment, waste, and litter during the official breakdown period.
15. Damage and Liability for Venue Property
Exhibitors are liable for damage caused by their staff, contractors, equipment, vehicles, displays, installations, materials, or activities.
Repair, cleaning, reinstatement, removal, or replacement costs may be charged to the responsible exhibitor.
16. Encroachment
Exhibitors must not encroach onto walkways, public areas, neighbouring stands, emergency routes, venue property, landscaped areas, or restricted zones.
Encroachment may result in penalties, removal of materials, relocation, or other action by the organisers.
17. Electricity and Services
Exhibitors requiring electricity, security, badges, tickets, special events, advertising, photography, or other services must submit the relevant forms by the stated deadlines.
Electricity and service requests are subject to availability, safety approval, supplier capacity, payment, and venue rules.
18. Security
The organisers provide general security for the show grounds from build-up to breakdown. However, exhibitors remain responsible for securing their own stands, products, equipment, cash, documents, vehicles, and personal belongings.
The organisers, venue, management committee, staff, suppliers, and security providers are not responsible for loss, theft, damage, or misplacement of exhibitor or visitor property except where liability cannot legally be excluded.
19. Tickets, Badges, and Access
All exhibitors, contractors, staff, guests, and visitors must use the correct official ticket, badge, wristband, pass, or access credential.
Access credentials are not transferable unless authorised by the organisers.
The organisers may refuse entry, remove individuals, or cancel credentials in cases of misuse, fraud, misconduct, safety concerns, or breach of event rules.
20. Visitor Admission
Visitors must comply with event entry procedures, ticketing rules, venue rules, safety instructions, crowd control measures, and any directions given by authorised officials.
Children must be supervised by an accompanying adult at all times.
21. Promotional Material and Touting
Exhibitors may only place, display, attach, or distribute promotional material within their own designated stand area unless otherwise authorised in writing.
Promotional material distributed outside permitted areas may be removed, confiscated, or destroyed, and penalties may apply.
22. Audio, Noise, and Demonstrations
Exhibitors using audio-visual equipment, demonstrations, performances, or product displays must ensure that noise and activity do not intrude beyond their stand boundaries or disturb other exhibitors, visitors, officials, or venue operations.
The organisers may require noise levels or demonstrations to be reduced, modified, suspended, or stopped.
23. Special Events and Product Launches
Exhibitors planning product launches, media events, demonstrations, or special activities must liaise with the organisers in advance.
Special events must not interfere with official ceremonies, guest tours, safety arrangements, visitor movement, or other exhibitors.
24. Publicity, Logos, and Media
Exhibitors may receive event branding or artwork for approved promotional use. Where used, the event logo must appear in full, unaltered, and without unauthorised additions or omissions.
The organisers may use exhibitor names, logos, stand information, product descriptions, photographs, videos, and submitted publicity material for event promotion, programme listings, media relations, website content, social media, and post-event publicity.
25. Photography and Videography
Photography, filming, broadcasting, and media coverage may take place at the event.
By attending or participating, exhibitors, visitors, contractors, and guests acknowledge that they may appear in event photographs, videos, livestreams, broadcasts, or promotional material.
Any photography or filming for commercial purposes may require prior approval from the organisers.
26. Official Suppliers and Contractors
The organisers may identify official or recommended suppliers for services such as tents, security, cleaning, audio-visual equipment, fire precaution, ambulance services, and other support services.
Where exhibitors contract directly with suppliers, such arrangements are separate business-to-business agreements. Exhibitors remain responsible for ensuring that their suppliers comply with event rules, deadlines, safety requirements, and venue conditions.
27. Health, Safety, and Emergency Access
Exhibitors, contractors, visitors, and staff must comply with safety instructions, emergency procedures, fire precautions, crowd control measures, and venue regulations.
Emergency routes, exits, first aid areas, fire points, ambulance access, and public walkways must remain clear at all times.
28. Indemnity
Exhibitors agree to indemnify and hold harmless the organisers, venue, management committee, officers, employees, contractors, and authorised representatives against claims, losses, damages, penalties, fines, costs, liabilities, or expenses arising from the exhibitor’s participation, products, staff, contractors, stand construction, displays, vehicles, breach of rules, negligence, or damage to property.
29. Limitation of Liability
To the maximum extent permitted by law, the organisers shall not be liable for indirect loss, loss of profit, loss of business, loss of opportunity, loss of goodwill, loss of data, theft, property loss, personal belongings, travel costs, accommodation costs, or consequential damages arising from use of the website, event participation, attendance, delay, cancellation, disruption, or operational changes.
Nothing in these Terms excludes liability that cannot be excluded under applicable law.
30. Event Changes, Postponement, or Cancellation
The organisers may change, postpone, suspend, or cancel the event or any part of it due to circumstances beyond their reasonable control, including venue issues, government action, public safety concerns, security threats, weather, fire, disease outbreak, labour disruption, power failure, supplier failure, or other force majeure events.
Where such changes occur, the organisers will communicate available options as appropriate.
31. Force Majeure
The organisers are not responsible for failure or delay in performing obligations caused by events beyond reasonable control, including acts of God, war, terrorism, civil unrest, government restrictions, epidemics, pandemics, strikes, venue closure, fire, flood, power failure, or other emergencies.
32. Personal Data
Personal information submitted through this website, booking forms, ticketing, registration, or event communications will be handled in accordance with the Privacy Policy.
33. Intellectual Property
All website content, event branding, logos, designs, text, images, graphics, layouts, and materials are owned by or licensed to the organisers unless otherwise stated.
Users may not copy, reproduce, modify, distribute, or commercially exploit event materials without prior written permission.
34. Complaints and Queries
Any exhibitor query, complaint, or operational issue should be referred directly to the organisers. Exhibitors should not interfere directly with contracted service providers in relation to general event organisation unless authorised.
35. Governing Law
These Terms and Conditions are governed by the laws of Kenya.
Any disputes shall first be referred to the organisers for good-faith resolution. Where resolution is not achieved, the matter may be handled through the appropriate courts or dispute resolution mechanisms in Kenya.
36. Updates to These Terms
The organisers may update these Terms and Conditions from time to time. Updated terms will be posted on this website or communicated through official event channels.
Continued use of the website, submission of forms, attendance, or participation after updates means you accept the revised Terms.
